HRMS Vendor:
Most companies today have HRMS tools that were implemented years ago. If you are one such company, you might probably also know that technology changes at a breakneck speed. Though your HRMS clearly does everything you think it must, it probably is quite outdated. With that in mind, here are five reasons why you must consider changing your HRMS vendor even though it feels like a love relationship that is co-dependent on each other.
- Your HRMS is difficult for us –
Most people think an HRMS has to be difficult to use because it’s complex software. On the other hand, your HRMS is probably difficult to use because it’s outdated and its UI/UX is designed poorly. Your current vendor may not want to admit this and may put on a pretence that the problem lies with you because you are unable to master using the HRMS. If your vendor blames you for finding the HRMS tough, it’s time to change your vendor.
- Your HRMS still Consists of Actual Paper and Printing –
While this needn’t be explained further, the unfortunate reality is that a number of HRMS tools still require users to print out certain forms, applications and other material which require signatures or otherwise. If your HRMS can’t be used in a paperless manner and if your vendor tries to convince you that it’s just normal, it is time to change your vendor.
The world is moving towards being paperless and HRMS has certainly moved towards this goal. Be environmentally friendly and choose a vendor who helps you to remove the clutter and the paper by helping you adopt a paperless office environment.
- You still have to Sign Permissions and Adopt a Secretarial Role –
When was the last time you had to sign to grant someone a leave? When was the last time you had to approve your employee’s request for a change of their residential address? If your HRMS does not let your employees apply for leaves automatically and if your HRMS does not have employee self-service modules implemented within, you are probably decades behind current HRMS tools. Your job is to focus on higher managerial and decision-making duties. The HRMS exists to automate secretarial and mundane tasks. If your existing HRMS isn’t helping you to do that, it is time to change your vendor.
- Your HRMS interface reminds you of Tetris or Mario –
Unfortunately, many companies still use HRMS tools that have an interface straight from the 1990s. If the interface of your HRMS reminds you of vintage video games, it is time to adopt a new HRMS from a new vendor who also pays attention to user interface and user experience. Your employees will just not use the HRMS effectively if it does not have a contemporary and clean interface.
- You feel mercy has been bestowed upon you when you receive technical support for your HRMS –
The most important aspect of any enterprise software is continued tech support. As we mentioned earlier, an HRMS is often complex and difficult to use. If you are not getting the kind of customer support you deserve, you probably should just terminate your contract and find a new vendor who will give you prompt tech support whenever requirements arise. Prompt tech support should be one of the most important criteria for choosing an HRMS vendor.
Final Thoughts:
Often, we continue to keep using what we have, even when we know that we are not getting what we deserve. Similarly, if your HRMS is not up to the mark, it is time to change your current vendor. Try to explore around and speak with various HRMS consultants. If a new vendor fits the bill, change your current vendor and move towards increasing productivity.
